CoAd is hiring a Knowledge Management Analyst who will own the Knowledge Management program on behalf of Operations: the definitions, currency, and findability of the organization's knowledge base, and the governance of how AI tools surface that knowledge. Serves as the single accountable owner for a function whose scope and success measures are already fully planned on paper, but which has no dedicated staff today confirming any of it actually works in practice. Partners directly with the AI team on knowledge source governance and embeds that team's needs into core Knowledge Management work, particularly for the payroll chat agent being built into the platform.
Key Responsibilities
• AI Knowledge Source Management: Own the review and currency of the knowledge sources our AI tools pull from; partner directly with the AI team on what those tools are permitted to surface and how source quality is checked.
• Content Lifecycle Management: Own the review cadence that keeps published content current, correctly updated, or retired, and handle judgment calls when a subject-matter update needs clarification from the team that originated it.
• Knowledge Organization & Standards: Own naming and tagging standards across the knowledge base, resolve cases where conflicting conventions exist, and ensure standards changes get fully applied across existing content.
• Search & Findability: Confirm that published content is findable through search and retrieval tools; diagnose whether issues are content-related or tool-related.
• Knowledge Base Consolidation: Consolidate knowledge currently spread across multiple systems and documents into Salesforce as the single governed, current source for AI tools, including the payroll chat agent. Partner with Salesforce and AI team on technical builds; own knowledge governance and content strategy.
• Knowledge Governance: Establish clear, consistent governance for both internal business knowledge and customer-facing knowledge, what belongs where, who's responsible for keeping it current, and how it's surfaced.
• Performance Reporting & Analytics: Run a practical readiness check against all eight defined performance measures within the first 90 days, confirming what can be tracked today versus what needs to be built first. Represent Knowledge Management in company performance-review discussions.
Required Skills & Experience
• Five (5) or more years of relevant experience in knowledge management, content operations or documentation program ownership or equivalent experience in like industry such as payroll, human resources, or PEO.
• Comfort partnering with technical and AI teams on source governance; this role is the named liaison between Knowledge Management and the AI team
• Able to operate without a team initially; this is a single-owner seat responsible for a full program area
Preferred Experience
• Bachelor’s degree in business, communications, information, knowledge management or related field.
• Experience with knowledge management platforms like Salesforce, Confluence, or similar systems.
• Internal CoAd experience strongly preferred, given the role requires fluency across the organization to identify existing knowledge practices worth formalizing,
